Workflow admins can require single tasks in workflows to complete a document (example: a reviewer checklist) in Accelerator. The task assignee must complete the document within Accelerator before transitioning their assigned task. To enforce this, the Transition button is disabled until the assigned document is complete.

These completions use all the capabilities of Accelerator authoring and reporting. A link to the completion is also included in the task history for auditing.​

The document used for completion must uses the same access controls as all other AcceleratorKMS:

  • Content status: the content must be published for it to be used. So when publishing a workflow, be sure that all content required to complete for tasks is published.

  • Domain access controls: For example, if the checklist is stored in the Facility-wide domain and the role on the steps are for a Reviewer, then the task assignee must have the Reviewer role assigned to them within the Facility-wide domain.

To create this feature, several changes through the application were required. The following information summarizes the changes.

Content types

A new Completion option is added to Content Types: "Restrict to workflows". When this option is selected, all content of this type can only be started and used from within a task. This option is available for documents only, not flows.

Workflow tasks

When creating or editing a workflow task, a new option is added: Require completion. When selected, the required document must be specified.

This is available on single tasks only, not multiple tasks

Task summary

If there is a required completion for a task, a field for Completion is shown within the Task Summary area.

  • If the completion is not started, an empty checkbox exists with a Start button.

  • If the completion is started but not completed, an empty checkbox exists with a link to the completion.

  • If the completion is completed, an checkmark is shown with a link to the completion.

Task search

Task search results include a new sortable column to display and link to any completions that are on a workflow’s current task.

Completion history

A new "Workflow completions" filter is added so that these completions can be included or excluded from completion reports, This filter also provides an option to show only workflow completions within the results. By default, the filter is set to exclude these completions.

These completions are not included in widgets, such as My active completions, Completion activity, or Manager task summary.

Content search

Includes a filter to find content that is restricted for workflow completions or not.

  • If not set, then all content is returned.

  • If None is selected then only content without restrictions is returned.

  • If For workflows is selected then only content restricted for workflow completions is returned.
