The Archive Files command removes files from the vault that are attached to a selected document version, and copies those files to a specified location. The Archive Files command submits a task to the scheduler asynchronously to perform the operation. After the archive is complete, you can still see the existing relationships between the document and the files in the database, but you cannot view or check out the files using the Desktop Client.

You must have administrative privileges to archive documents and their information files in the Desktop Client.

To archive a document

  1. In the Desktop Client, right-click the document you want to archive, and select Files > Archive Files.

  2. Click Yes in the information box if you want a notification when the scheduler has completed the archive process, or click No if you do not want a notification.

When the scheduler completes the archive and purge process, as configured in the scheduler task, an archive document and an archive information file is created in the Desktop Client.

  • Check with your system administrator for the default location for the archived document and archived information file.

    • The software creates a folder in this location using the name of the object config of the archived document. A sub folder is created within this folder using the name of the UniqueKey of the archived document. Attached files are located within this folder.

      If the UniqueKey is not configured, the sub folder is created using the UID of the document being archived

  • By default, the name of the archive information file is ArchiveInfo[date and time stamp].txt. (The date and time stamp is in GMT.)

  • The Archive Date property of the document can be found on the property grid or in the document's history.

  • If you checked the Purge option when configuring the archive command method, then the archived files are deleted from the original vault when you perform an archive.

Review the archive document and archive information files

You must have administrative privileges to view the archive document and access the archive information file in Desktop Client.

  1. In Desktop Client, click Find > Administration > Archive Document.

  2. Right-click the archive document you want to review, and select Show All Files to display the ArchiveInfoFile document.

  3. Right-click the ArchiveInfoFile document, and select View and Markup to view the content of the file.

    The ArchiveInfoFile document contains details about files that are attached to the archived document, what files were removed from the vault, and the files location.
