  1. In the system options, scroll down to the Workflow options details section. For more information on the system options, see Configure the system options.

  2. In the Allowable number of days to wait between e-mail box, type the number of days to wait between sending overdue reminder e-mails.

    For example, if the interval is two days, the system will only send an e-mail reminder every two days instead of every day.

  3. In the Allowable number of days overdue before expiration box, type the number of days a step can exceed its target date before the step is considered overdue. This number is used for the overdue steps report, and it controls the color of the To Do List icon. For example, when a workflow action is overdue (that is, the target date is reached), the To Do List icon turns red. Only steps meeting the criteria entered here are considered in expiration checks.

  4. In the Allowable number of days overdue before reassignment box, type the number of days a step can be overdue before it is reassigned.

  5. When you have made all your selections, click Finish.

The remaining Workflow options are described below.

Workflow options details

Recalculate target dates on reassign - Recalculates the target date of a workflow step when you reassign that step to another user or role or when you add one or more users to that step. If you do not select this check box, the step reassignment will have no effect on the target date of that step. This option is enabled by default when the product is upgraded to version 2019 and is disabled by default when version 2019 of the product is installed the first time.

Merge process steps on completion - When a workflow is completed or terminated all the consecutive process steps are merged into a single process step and the redundant steps are deleted. This can help reduce the database size.

Display workflow information steps - Displays any information steps in your To Do List. If you do not select this check box, the information steps are signed off automatically.

Allowable number of days to wait between e-mail - Allows you to set the number of days to wait between sending overdue reminder e-mails.

Allowable number of days overdue before expiration - Allows you to set the number of days a step can exceed its target date before the step is considered overdue. This number is used for the overdue steps report, and it controls the color of the To Do List icon. Suppress all e-mail - Suppresses all e-mail notifications from workflow to recipients.

Reject e-mail definition - Sets the e-mail message sent to recipients when a step is rejected.

Action e-mail definition - Sets the e-mail message sent to the recipients when a step action is required.

Started e-mail definition - Sets the default e-mail message sent to the recipients of a step when that step is started. The delivery of this e-mail is optional.

Reassign to e-mail definition - Sets the e-mail message sent to the recipient to whom the step is reassigned.

Reassign from e-mail definition - Sets the e-mail message sent to the recipient from whom the step is reassigned.

First assignee e-mail definition - Sets the e-mail message sent to the first assignee.

Completion e-mail definition - Sets the e-mail message sent to the workflow submitter when the workflow is completed. The delivery of this e-mail is optional.

Sign off e-mail definition - Sets the e-mail message sent to recipients when a step is signed off.

Workflow off hold e-mail definition - Sets the e-mail message sent to recipients when the workflow is taken off hold.

Overdue e-mail definition - Sets the e-mail message sent to recipients when a step is overdue.

Workflow on hold e-mail definition - Sets the e-mail message sent to recipients when the workflow is put on hold.

Information e-mail definition - Sets the e-mail message sent to recipients when an information step is assigned to them.

Step claimed e-mail definition - Sets the e-mail message sent to the recipients when a step is claimed.

Future actions e-mail definition - Sets the e-mail message that is sent to all recipients of all future steps in a workflow when the first step has been completed.

Initial workflow status - Allows you to assign a status to a change action after the change action is added to a workflow.

Completion workflow status - Allows you to assign a status to a change action after it is completed.

Information step definition - Allows you to select the step that is displayed in the inbox when a user is assigned as an Info Only recipient on an Assignment step.

Workflow calendar - Defines the default calendar to be used for workflows. For more information, see Configure and maintain the system calendar.

Allow workflow step auto reassignment - Enables the automatic reassignment function. For more information, see Allow reassignment of workflow steps.

Workflow viewer column set - Allows you to select the workflow properties to be displayed in the Workflow step details window in the Web Client.
