A submittal is used in the collaboration process for contractors to send documents and files to the owning company's system. The submittal is a control file that contains all the details of the submitted objects, including tags and any document file attachments. Each submittal has a defined classification that determines which workflow path the submittal process will follow.

When a submittal file is uploaded, the attached files are transferred to a specified location where the files can be scanned for viruses before being loaded into Data Validator. Data Validator validates the quality of the incoming data in the supplied files before they are loaded into the system.

There are four types of submittals:

  • Master Document Registry (MDR) - Initiated by the contractor to send data in a master document register to the owner company.

    • The MDR document must be listed in the first row of the .csv file in all the MDR submittals. It must have a name, revision, issue date, and file. It should not have an issue purpose. For each submittal, a new revision must be supplied with the revision and issue date.

    • MDR planning submittal - Creates and populates the MDR with a document delivery schedule. The document delivery schedule consists of reserved documents with associated delivery milestones for a given issue purpose, on a planned date.

    • The planning submittal must have the document names, title, planned issue purpose, and date. For each submittal, a new revision of the MDR document must be supplied in the first row with a new revision and issue date.

      While processing the MDR planning submittal, if one or more issue purposes in the attached file are not related to the current plant or project, the validation rules stop the processing, and the user must relate the issue purpose to the current plant or project to process the submittal.

    • MDR deliverable submittal - Issues documents with their associated files for the specified issue purpose. These documents should be identified on the MDR as planned documents.

    • The deliverable submittal requires each document to have a revision, issue date, file, and issue purpose. For each submittal, a new revision must be supplied with the revision and issue date, or the same revision must be supplied with a different issue purpose.

  • Master Tag Registry (MTR) - Initiated by the contractor to send data in a master tag register to the owner company.

    • The MTR submittal process allows you to load two types of CSV file formats. The basic format contains the tag data and must have the tag name and type. The inverted format contains the tag properties and must have the tag name.

  • Tag Document Relationships (TDR) - Initiated by the contractor to send data on tag document relationships to the owner company.

    • The tag document must have a tag name, document, and revision.

  • MDR/MTR/TDR - Initiated by the contractor to send data in a master document registry, master tag registry, and tag document relationships simultaneously to the owner company.
