This procedure allows you to define email notifications for specified workflows. The following types of workflows are available:

  • All Workflows

  • Contract Budget Workflow

  • Contract Change Workflow

  • All Contract Workflows

  • Payments Workflow

  • RFI Workflow

  • Submittals Workflow

  • Transmittals Workflow

Workflow users can be internal to the organization, or external (not an EcoSys User). All approval workflows at all levels execute in parallel, allowing approval by any applicable party at any time following the submission.

  1. Navigate to Contracts > Contract Setup.

  2. At the top of the screen, in the toolbar, click the Contract Organization ellipsis to select the required project.

  3. If required, click the Refresh icon to update the screen.

  4. Click the Contract Register tab.

  5. Select the Contract ID hyperlink. The Contract Details panel appears.

  6. Click the Workflow Admin tab.

  7. Click the Insert Row icon to add a new row.

  8. Populate data as indicated below:

    1. For External Users

      1. (Optional) Click the User ID ellipsis and select a user.

      2. (Optional) Type a name in the Description or External Name column.

      3. Enter the email address in the External Email column.

        Ensure the email address is valid, as EcoSys does not verify this data.

      4. (Optional) Click the Distribution List ellipsis and select the required workflow.

    2. For Internal users

      1. Click the User ID ellipsis and select a user.

      2. (Optional) Type the description in the Description or External Name column.

      3. (Optional) Click the Distribution List ellipsis and select the required workflow.

  9. Click SAVE.
