Import tab allows you to create contract changes and line items or establish time-phasing attributes by importing an external file. This file can be a tab delimited text file or an MS Excel spreadsheet.

  • When importing an MS Excel spreadsheet in to EcoSys, only the data in the first tab of the spreadsheet is used.

  • While importing a file, if a column is present in the Import spreadsheet but not in the import file, then the Import spreadsheet registers this as blank values for each row. Therefore, you must limit the columns in the Import spreadsheet to the values present in the import file. You can accomplish this by using view settings, with an exception of required fields.

Import Contract Change Headers

Import Contract Change Headers allows you to create or update contract changes.

  • If the contract changes are created using both, import and action list within the same environment, the imported contract change IDs follows an alternate numbering mechanism to avoid conflicts with the EcoSys auto-numbering of workflow changes.

  • If the contract changes are created using the Insert Row icon, you can type and create the Change IDs.

This procedure allows you to import new or update existing contract changes.

  1. Navigate to Changes > Contract Changes.

  2. At the top of the screen, in the green parameter bar, click the Contract ellipsis to select the required contract.

  3. If required, select REFRESH to update the screen.

  4. Click the Import tab.

  5. Navigate to Sheet > Import.

  6. Click Choose File to select the required file to import.

  7. Select the Format as per the selected file.

    • Excel

    • Tab-delimited

  8. In the Import Rule for Incoming Records, select the Create New / Ignore Existing.

  9. Select the Preview data before saving check box to validate the data before importing.

  10. Click OK to import the file.

    Verify if there are any missing or blank fields on the screen and click REFRESH to discard the data. Repeat the above procedure to import the file again.

  11. Click SAVE.

    • Only the data from the first tab of the MS Excel spreadsheet is imported into the import spreadsheet.

    • You can customize the view of the Import Contract Change Headers panel from the view settings.

Import Contract Change Line Items

Import Contract Change Line Items allows you to create individual contract change line items. After importing the line items, you must perform the time phase action on the imported lines.

You cannot import detail line item for closed/on hold/cancelled/approved contract change.

This procedure allows you to import new or update existing contract change line items.

  1. Navigate to Changes > Contract Changes.

  2. At the top of the screen, in the green parameter bar, click the Contract ellipsis to select the required contract.

  3. If required, select REFRESH to update the screen.

  4. Click the Import tab.

  5. Click the Change ID hyperlink. The Import Contract Change Line Items panel appears.

  6. Navigate to Sheet > Import.

  7. Click Choose File to select the required file to import.

  8. Select the Format as per the selected file.

    • Excel

    • Tab-delimited

  9. In the Import Rule for Incoming Records, select the Create New / Ignore Existing.

  10. Select the Preview data before saving check box to validate the data before importing.

  11. Click OK.

    Verify if there are any missing or blank fields on the screen and click REFRESH to discard the data. Repeat the above procedure to import the file again.

  12. Click SAVE..

    • Only the data from the first tab of the Excel spreadsheet is imported into the import spreadsheet.

    • You can also add contract change line items using Insert Row icon.

    • You can customize the view of the Import Contract Change Headers panel from the view settings.
