This procedure allows you to view the existing workflow users updated in the Opportunity screen and also identify additional workflow users that will execute workflows and receive opportunity-related emails. These users can be internal to the organization or external. The workflow users receive all the email notification related to the selected project and can also accept or reject the project. The external users only receive the email notifications and cannot approve or reject the project. Hence, it is required that an opportunity has at least one internal user identified to process workflows.

  1. In the Gate Review panel, click the Workflow Admin tab. The default workflow admins appear.

  2. Click the Insert Row icon to add a new workflow admin.

  3. Click the User ID ellipsis to select the required admin.

    By default, the External Resource - EXT appears in User ID. To change the workflow admin, click the User ID ellipsis icon and select the required user-id.

  4. (Optional) Type the Description or External Name.

  5. Type the email id of the workflow admin in External Email.

    It is mandatory to enter the External Email only if the workflow admin is an External Resource.

  6. Click SAVE.

    • When the workflow users are updated, the Check: Workflow Approvers validation check is completed.

    • To view the updated Validation Count, click the Refresh icon. Once the Validation Count becomes zero the opportunity can be submitted for review.

    • Click the Delete Row(s) icon to delete the selected workflow user.
