This procedure enables you to submit an open fund request for processing. When the fund request is submitted, a log entry appears in the Fund Request Log and the status of the fund request changes to Submitted. The creator of the fund request and fund workflow users are identified. After fund requests are submitted, the fund request can no longer be updated.

  1. Navigate to Projects > Project Fund Requests.

  2. Click the Actions list and select Submit Fund Request.

  3. The Submit Fund Request dialog box appears.

  4. Click the Fund Request ellipsis to select the required fund request. By default, the selected fund request appears in the Fund Request ellipses.

  5. (Optional) Type a Comment.

  6. Click the Run button. The Submit Fund Request confirmation dialog box appears.

  7. Click the OK button. In the Fund Request Register panel, the Fund Request Status changes to Submitted and the requested amount appears in the Requested column.

  8. In the project Fund Status panel, click the Refresh icon. The requested amount appears in the Pending Approval column.

  9. In the Submit/Close Fund Request Details panel, click the Refresh icon. The Fund Request Line Status changes to Submitted and the requested amount appears in the Unapproved column.

  10. Email notifications are sent to the fund requestor. Each workflow user identified on a fund referenced in the fund request will also receive an email.

    • To view the log entry, click the Log tab.

    • To view the status of the fund request, click the Fund Request Register tab.

    • Once the fund request is submitted, it is sent for the approval to the fund allocator. The fund can be approved fully or partially, or it can be rejected completely.

    • If the fund is fully approved, following updates appear:

      • In the Fund Request Register panel, Fund Request Status changes to Closed and requested amount appears in the Requested column.

      • In the Submit/Close Fund Request Details panel, Fund Request Line Status changes to Full Allocation and the requested amount appears in the Approved to Spend column.

      • In the project Fund Status panel, requested amount that is submitted appears in the Approved to Spend column.

    • If the fund is partially approved, following updates appear:

      • In the Fund Request Register panel, Fund Request Status changes to Closed, the partial approved amount appears in Approved to Spend column, and the total amount requested appears in the Requested column.

      • In the Submit/Close Fund Request Details panel, Fund Request Line Status changes to Partial Allocation and the partial approved amount appears in Approved to Spend column.

      • In the project Fund Status panel, click the Refresh icon. The partial amount approved appears in the Approved to Spend column and the difference between the total amount request and the partial amount approved appears in the Unapproved column.

    • If the fund is rejected, following updates appear:

      • In the Fund Request Register panel, Fund Request Status changes to Closed and the value in Approved to Spend column becomes zero.

      • In the Submit/Close Fund Request Details panel, Fund Request Line Status changes to No Allocation.

      • In the project Fund Status panel, value in the Approved to Spend column becomes zero and the requested amount appears in the Unallocated column.
