Checklists can be defined for any Task Plan, such as on a work order activity or on a Lockout / Tagout (LOTO) procedure of a permit to work.

The Task Plans screen has the following important attributes, related to the checklist functionality:

  1. Case Management Checklist—Checklist functionality is supported on the case management task level. If you want to create a checklist for case management, you must select this checkbox.

  2. Nonconformity Checklist— Checklist functionality is supported on the nonconformity observation. If you want to create a checklist for nonconformity observations, you must select this checkbox.

  3. Isolation Method— Makes the task plan an Isolation Method that is used on the lockout/tagout functions of the permit to work. This also supports checklist functionality.

  4. Active Checklist—You must select this check box, to copy a checklist to the work order or the permit to work or any of the other functions that support checklists. However, you can clear this check box, if the checklist must be temporarily disabled without deleting the checklist items.

  5. Performed By Required—If selected, the underlying document cannot be completed until the Performed By electronic signature is placed. Not applicable on the permit to work function.

  6. Reviewed By Required— If selected, the underlying document cannot be completed until the Reviewed By electronic signature is placed. Not applicable on the permit to work function.

    When you enter results for a checklist on a work order, you can select checklist items for follow-up, which means an additional work order to repair the equipment is required. This work order is created with these details from the Task Plans screen:

    • WO Description

    • WO Type

    • WO Class

    • WO Status

    • WO Priority

Use responsibilities if you want to apply extra security rules or have the checklist executed jointly by two different responsibilities. Responsibilities can be defined on the System Codes screen for the Entity ‘Responsibilities’ (‘RESP’). Use one or more of the following fields to apply the security rules:

  1. View Only Responsibility— Only users with a matching responsibility associated may view the checklist of this task plan. Note that the moment you select a responsibility here, the security rules are in place. That means that without also specifying at least the Perform By Responsibility this checklist can only be viewed.

  2. Review Responsibility— Only users with a matching responsibility have view access to the checklist items and may place the reviewed by signature or reject the checklist. With this security rule in place, the checklist cannot be filled in. You still need at least the Perform By Responsibility for that purpose.

  3. Perform By Responsibility— Only users with a matching responsibility have access to the checklist items, can set the Condition As Found and may place the performed by signature.

  4. Perform By 2 Responsibility— Only users with a matching responsibility have access to the checklist items and may place the second performed by signature. For joint inspections, both perform by fields must be entered.

  5. Buttons:

    • Translate WO Description—Use this button to translate the description of the follow-up work order.
