If selected, then the system will only display employees and crews in their respective ‘available’ sections IF they have enough availability remaining for the Dispatch Date to cover the calculated dispatch hours necessary for all selected WO activities. This checkbox only impacts available employees and crews IF WO activities are selected because the system needs to compare actual availability with required dispatch hours.

If the checkbox is selected and at least 1 WO activity is selected in the grid, the system will do the following:

  1. Calculate the number of available hours for each employee and crew on the Dispatch Date. This will include all Shifts for which the employee/crew is valid on the Dispatch Date.

  2. Calculate Remaining Available Hrs. for each employee and crew for the Dispatch Date. The Remaining Available Hrs. for each employee or crew will be displayed in the lower, right-hand corner of their card ((see Notes for details).

  3. Calculate the total number of hours to be dispatched for all selected WO activities (see Notes for details).

  4. Compare Remaining Available Hrs. with the total number of hours to be dispatched for the selected WO activities (i.e., calculated in 2 and 3 above). If Remaining Available Hrs. >= total hours to be dispatched, then that employee or crew will be displayed as available for dispatch; else, they will be filtered out of the appropriate Available section.

  • If no WO activities are selected, then Show Available Only will not cause cards to be filtered from the Available Crews and Available Employees sections.

  • The Show Available Only checkbox does not impact the Dispatched Crews/Employee section or the WO activity grid records.

  • Available hours for Crews and Employees are only calculated for the Dispatch Date (i.e., selected in the Parameters callout). If multi-day WO activities are being dispatched, the user can use the View/Delete Dispatch Labor popup to view all WO activities currently dispatched to the employee/crew and manually determine if they have enough availability for days other than Dispatch Date to complete the work.

  • If a specific Shift is specified in the Parameters callout, the system will only calculate employee/crew availability on the Dispatch Date for that specific Shift, regardless of how many Shifts the employee/crew are a part of for the Dispatch Date.

  • Selecting/Unselecting the Show Available Only checkbox will refresh the Available Crews and Available Employees sections if at least 1 WO activity is selected.

  • Crew availability is only used by the GIS Map WO Dispatching screen and is based on information on the Shift(s) for which the Crew is associated to for the Dispatch Date.

  • It is not necessary to manually initiate a process to calculate employee or crew availability for use on the GIS Map WO Dispatching screen. This screen calculates these values on-the-fly whenever they are needed based on the Shift(s) the employee or crew are associated to for the Dispatch Date.

  • Remaining Available Hrs. = total available hours for Dispatch Date – total Dispatch Hrs.

    • Total available hours for Dispatch Date = Number of hours for all shifts on which the employee/crew is defined for the Dispatch Date.

    • Total Dispatch Hrs. = The no. of dispatch hours for the employee/crew displayed in the lower, left-hand corner of their card. These hours include all dispatch hours through the Dispatch Date.

  • The system calculates employee availability for the Dispatch Date on this screen in the same way it does in other places in HxGN EAM. Crew availability is calculated similarly, except the new Crews tab for Shift is used and employee availability exceptions do not impact Crew availability.

  • Total number of hours to be dispatched for selected WO activity(s) = Sum of Dispatch Hrs. for all WO activities selected. A new field called Dispatch Hrs. has been added to the WO activity grid. The dispatch hours for each WO activity is calculated and displayed in that field. This is the number of hours that will be dispatched to the employee or crew when dispatched to the WO activity.

  • It is possible for Remaining Available Hrs. to be a negative number. If the employee/crew are currently dispatched to more hours than are available, this number will be negative.

  • If Remaining Available Hrs. is not displayed for an employee or crew, this indicates that their available hours cannot be calculated for the Dispatch Date (i.e., they are not on a Shift, they are on a Shift, but the shift date range does not include the Dispatch Date, etc.).

  • Remaining Available Hrs. for DOES consider employee availability exceptions. However, availability exceptions only impact Remaining Available Hrs. for employee cards, it does not impact this calculation for Crews. This is because the concept of Crew availability exceptions does not exist within the application.

  • If there are availability exceptions for employees in Crews that are displayed on this screen, the system will show an availability exception indicator (i.e., icon) inside the Crew card. If the user hovers over this icon, a callout listing all availability exceptions for the crew employees will be displayed. The employee, date, and hours will be displayed. This information can be used to help the dispatcher determine if the Crew can still be dispatched.
