If the Create Crew icon in the Filter section is clicked and at least 1 work order activity is selected in the list, the system will open the associated popup. When opened via the Create Crew icon, the popup is intended to provide the dispatcher ability to create a new crew that will be dispatched to the work order activities selected on the calling screen. Perhaps the work requires a specially assembled crew, one that does not exist on a routine basis.

The popup contains 6 sections:

  1. Crew header: Provides ability to name the crew, establish if the crew is permanent or temporary, associate a crew profile picture, and set crew Expiration Date or End Date. If crew code is left blank, the system will system generate a code; else, the entered code will be used.

  2. Required Qualifications: If installation parameter WOQUAL is enabled, this section will be displayed and show a list of all qualifications associated to all selected work order activities from the calling screen. There is a field that will indicate if each qualification is met by the currently Proposed Crew.

  3. Filter: Show Available Only, Show Qualified Only, Match Trade, and Quick Search filters are available. Match Trade is protected and its value defaults from the calling screen. See other sections of this brief for details of these filters.

  4. Available Employees: The look and feel of this section is like that of the calling screen. Employees that are eligible, based on current parameters/options set, to be added to the new crew are displayed. Each employee will show the qualifications they possess (displayed below the employee) that meet at least 1 of the required qualifications. Not all employee qualifications are displayed, just the ones that meet a required qualification. This section differs from the section by the same name on the calling screen in that each employee displayed in the popup need only have 1 of the required qualifications (vs all qualifications on the calling screen) to be displayed here. Click the Add link for 1 or more employees to move the employee to the Proposed Crew section. As the employees are added to the Proposed Crew, the system will flag each required qualification that is met.

  5. Available Crews: The look and feel of this section is like that of the calling screen. Employees that are eligible, based on current parameters/options set, to be added to the new crew are displayed. Each crew will show the qualifications possessed by each crew employee (displayed below the crew) that meet at least 1 of the required qualifications. Not all crew employee qualifications are displayed, just the ones that meet a required qualification. Like the Available Employees section, each crew displayed here does not have to meet all required qualifications, just some of them. The dispatcher can start their new crew with an existing crew by clicking Add for the crew card to move them to the Proposed Crew section. If additional crew members are necessary, they can be obtained from Available Crews or Available Employees.

  6. Proposed Crew: The minimum number of crew employees necessary to satisfy the selected work order activities is displayed in parenthesis () in the header of this section. The minimum number of crew members = maximum People Required value, considering all selected work order activities. If a crew is added to this section, the individual crew employees will be displayed as well as the crew name. The dispatcher can keep all crew employees on the new crew or remove some of them in favor of other Available Employees or Available Crews. The dispatcher can click the Remove link on an employee card to have them return to the Available Employee section if they are a stand-alone employee or to the Available Crew section if they came from an existing crew. At the end of the day, the employees in this section, whether they were added as part of an existing crew, or a stand-along employee will be added to the new crew and dispatched to the work order activities selected on the calling screen.

    • If an existing crew is added to the Proposed Crew section as the starting point for a new crew, the profile picture associated to the existing crew will not be displayed in this section as that profile picture no longer applies to the new crew.

    • The Filter options above does not impact the Proposed Crews section of this popup.

      When the screen is opened, it is assumed that the newly created crew are only needed for the selected work order activity(s); therefore, the temporary checkbox is selected by default and the Expiration Date defaults to the Dispatch Date + longest duration of the selected work order activities -1. So, the temporary crew will no longer be available for dispatch after the selected work order activities are completed. Expiration Date can be changed but it cannot be prior to the Dispatch Date. In addition, the temporary checkbox can be unselected, thereby making the new crew a ‘permanent’ crew.

      If the crew is permanent, an End Date is defaulted from the Expiration Date. When the crew is created, each employee’s crew End Date will be set to this date.

      The dispatcher will Add any combination of Available Employees or Available Crews to the Proposed Crew section. When all required qualifications for the selected work order activities have been satisfied (if WOQUAL is enabled) or the dispatcher is satisfied the proposed crew is correct, they will click the Create Crew and Dispatch button.

The system will:

  1. Verify all required qualifications have been satisfied if WOQUAL is enabled.

  2. Verify total number of employees on the new crew >= maximum People Required value, considering all selected work order activities.

  3. Create the new crew header as specified in the popup.

  4. Add all employees displayed in the Proposed Crew section to the new crew. The Start Date for each employee will be se to the Dispatch Date. The Expiration Date for each employee will be set to Expiration Date if the crew is temporary. If the crew is permanent, then End Date will be set to End Date from the popup.

  5. Close the popup.

  6. System will populate the new crew in the Dispatched Crews/Employees section of the calling screen. No additional save is necessary as the new crew has already been dispatched to the selected work order activities at this point.

  • When creating a new crew, the crew organization defaults from the WO Org. selected on the calling screen and it cannot be changed in the popup. Therefore, crews can only be created in the WO Org.

  • When choosing to create a crew there must be some context for which the crew will be created. Therefore, the dispatcher must select 1 or more work order activities for which the crew will be dispatched once created.

  • To create the new crew, the number of employees in the Proposed Crew section must be >= to the largest People Required value for the work order activities selected on the calling screen.

  • The total number of hours currently dispatched to the employee/crew that is shown in the lower, left-hand corner of the cards does not consider any dispatch hours that occur after the Dispatch Date selected in the Parameters callout of the calling screen.
