As your healthcare organization or hospital encounters maintenance problems with assets and work environment, it is helpful to register information related to the problems. Collecting such information allows you to analyze failures regarding your business processes, system design, and operational utilization. They help with establishing performance improvement initiatives. Closing codes (Problem Codes, Action Codes, Cause Code and Failure Codes) can be used with various failure analysis models, for example, FMEA (Failure Mode and Effects Analysis). The HxGN EAM Healthcare Edition has a list of predefined codes that would apply for both medical and facilities equipment. Closing codes can be described as follows and tailored to the organizations business process:
-
Problem Codes identify the observed asset failure, for example, water pump does not work.
-
Failure Codes identify the reason the asset failed, for example, preventable failure due to a loose connection.
-
Cause Codes identify what caused the component or type of component to fail (root cause), for example, pump wire connections were loose.
-
Action Codes describe the steps necessary to correct the problem, for example, reconnected electrical wire connections to pump.
When defining your closing codes, you should maintain a manageable list of options for each type of closing code, while balancing your hospital’s need for specific information. The system allows you to associate closing codes with specific asset classes. Thus, when a pump breaks you can choose from only those closing codes that apply to pumps.
The table below represents all the available closing codes for the closing code types.
