Selecting the Notebook menu from the list of menus opens a list view of all notebooks created by the user. The device will also download all notebooks as determined by the Notebook Date Limit (Latest months) field on the sync config screen. If none exist, the user can create a new one by using the Add button on the top right.

The user has the option to sort by Code or Created Date from the list view.

The Add button will flip view to the add record panel with the following fields:

  • Organization - This will be default to the default org for the user

    This is a free text field for entering information about the notebook

  • Private - Marking a notebook record as private, will prevent other users from viewing the record in the base product. Only users with special privileges will be allowed to view private records.

  • Emails and Non-Employee Emails - The Emails is a multi – select lookup which will show all employees with an email address. Populating data here will also populate data on the Emails panel. See the Emails for Notebook section for more information. The Non-Employee Emails is for entering email addresses not associated with employees.

  • References - This is a multi-select lookup which will let the user associate other notebook records in the system. This will also populate records in the References panel. See References for Notebook for more information

  • Defect - This check box indicates that defect related details are entered for this record. Checking this check box makes the Equipment field as required, indicating that that the notebook has a defective equipment. Selecting this check box also unprotects the following fields: Type, Severity, and Class (all of which are Nonconformity fields).

  • Type - Filling in this field, can have the severity and class fields populate, if they are setup accordingly on the base product Nonconformity Type screen.

  • Notebook Class - This lookup will show all classes for the MNBK entity

  • Level 1 – Level 2 -Level 3 – Level 3A – Level 4 are part of a hierarchy which must be setup correctly to explore full functionality and interaction with the equipment field here. See the HxGN EAM Notebook brief for more information about how to correctly setup the hierarchy structure so they are visible here. If everything is setup accordingly, then specifying an equipment here will also fill in the related ‘Level’ fields. Note that the lookups here will only show one value, as opposed to multiple values shown in the base product. However, the logic and interaction rules between the fields are similar across base and mobile.

  • The Stationing (Major /Minor) - Numeric identifiers for location of the issue being recorded.

  • The Detailed Location - Text field to record more information about the location.

  • User Defined and Custom Fields - The custom fields will use the MNBK entity for notebook class.

    After entering all the necessary details, before saving the record, the user can attach or take a photo or video, along with recording a voice memo.

From here on, the user can either Save the record or Save as Draft. The first button will sync the record to the base product, but if the record is saved as draft, these records will not be picked up, when sync happens. For example, if Save as Flag is turned ON; those records will not sync to the base product. For these records to be synced to base, this flag must be OFF, i.e. record must be Saved.

After saving the record, the view will switch to seven panels (Notebook, Notebook Details, Additional Details, Documents, Emails, Comments and References) showing details of the notebook record created. (Email panel not shown).

On the Notebook panel, when the user selects the copy button, the system will copy all details from the original record except emails, documents, and references. This action will also create a record on the References panel indicating that the record was copied, along with a flag indicating that (Copy Source).

The user can edit the record anytime by clicking Edit. This will switch view to the edit mode, where user can edit the records.

The user can also add documents and comments anytime without restrictions.
