The Operator checklist screen has the following important attributes:

  1. Operator Checklist Number - Protected. Automatically assigned number that uniquely identifies the operator checklist.

  2. Organization - The organization can only be specific, like the Work Order screen.

  3. Equipment - Select the equipment for which to enter the checklist. Once you select Equipment the system will also fill in:

    • Equipment Class - Protected field for information only.

    • Task Plan - If the selected equipment is associated to a Class and this Class matches a record on the setup screen (see Screen Setup: Operator Checklist tab) and a default task plan is associated to this class, then the system will also populate the Task Plan field.

  4. Task Plan - Select the task plan that determines the checklist that will be filled in. Remember that, by using the setup screen mentioned above in this document, you can

    • Control which task plans are available here for the operator.

    • Automatically populate a default task plan.

      If no setup is performed all task plans with an active checklist will be available for selection.

      System will always exclude task plans designated as an isolation method, nonconformity checklist or case management checklist or any joint task plans where two perform by responsibilities are entered.

  5. Performed By - Use this icon to identify that you performed the checklist. Click the Performed By icon to initiate the process. If Perform By Responsibility on the Task Plan header is entered, the system will also verify that you have the same responsibility associated, otherwise it will not let you sign. If the system finds no problems, the e-Signature popup is displayed. You must enter your username, password, and select a Signature Type. After validation, the system performs these actions:

    • Clears the reviewed by details.

    • Defaults the performed by details for the operator checklist. This includes Performed By, Performed By Name, Date Performed and Performed Type.

  6. Reviewed By - Use this icon to identify you reviewed the entered results of the checklist. Click the Reviewed By icon to initiate the process. If Review Responsibility on the Task Plan header is entered, the system will verify that you have the same responsibility associated, otherwise it will not let you sign. If the system finds no problems, the e-Signature popup is displayed. You must enter your username, password, and select a Signature Type. After validation, the system performs these actions:

    • Defaults the reviewed by details for this activity. This includes Reviewed By, Reviewed By Name, Date Reviewed and Reviewed Type.

    • Based on the setting of the Organization Option OPCKLREG, the system may prevent sign off, if Regulated items exist, which have Repairs Needed selected. As follows:

      • If the option is set to ‘N’, all items must have a Resolution of ‘Repairs Completed’ or must have a Resolution of ‘Temporary Repair’ with a follow up work order or deferred maintenance already created. If any checklist item is found that does not match this criterion, the sign off is prevented.

      • If the option is set to ‘P’, the same conditions apply as with the option set to ‘N’, except that the Resolution can be blank as well, but a follow up work order or deferred maintenance activity still must exist.

      • If the option is set to OFF, then none of the above checks will be performed.

    • The system will also attempt to set equipment back to an operational status. Equipment will become operational again, if all Regulated checklist items for the equipment from this checklist or any previous operator checklist or work order checklist, where Repairs Needed is selected are either:

      • Repaired (Resolution is set to ‘Repair Completed’)

      • Or are temporary repaired (Resolution is set to ‘Temporary Repair’ and have a follow up work order or deferred maintenance generated for the checklist item.

      • Or have a Resolution equal to blank, but the follow-up work order is completed or, in case of deferred maintenance, the deferred maintenance is assigned to a work order that is completed.
        If one or more checklist items do not meet any of these requirements, the equipment will remain non-operational.

        This attempt to set equipment back to an operational status is also performed when the user closes a work order.

    • If the value of the Organization Option OPCKLFUP = ‘ON’, then the system will automatically generate Follow-up work orders or Deferred Maintenance activities for all items marked for ‘Follow-up’, after the review process is completed. Whether the system creates follow-up work orders or deferred maintenance is controlled by Organization Option OPFUTYPE.

    • If Create from Checklist on the Nonconformities Setup screen is activated, the system will create nonconformities and / or nonconformity observations for all checklist items where Enable Nonconformities is selected and where:

      • Type is "Good/Poor" and "Poor" is selected and Nonconformity Type is not blank or

      • Type is "Nonconformity Check" and "Nonconformity" is selected or

      • Type is "Nonconformity Measurement" and "Nonconformity" is selected or

      • Type is any other value and Nonconformity Type is not blank.

        In case an open nonconformity for the same Equipment, Nonconformity Type (could be blank) and Aspect (must be filled in on the checklist item) already exists, the system will not create a new nonconformity, but instead will add an observation to this existing nonconformity.

    • The Reviewed By signature on this screen, if signed by another user than the Performed By, can only be placed if the user that created and entered the checklists is present as well, i.e. has selected the operator checklist so the reviewer can review ‘on the spot’. Otherwise it is not possible for the reviewer to select and access the operator checklist from this screen, because the Operator Checklist screen only lets you select checklists you created. The only option the reviewer has otherwise is to use the separate Review Operator Checklist screen. Consider hiding the Reviewed By on this screen in that scenario.

    • The View Only Responsibility of the task plan does not play a role on this screen.

  7. Several fields will be populated and displayed for information purposes. These fields include Created By, Status, Start and End Date / Time. The screen also has a limited set of user defined fields.

  8. Buttons

    • Create Checklist - This button is like clicking Save. The system will create the operator checklist and will assign a number to it. If you started a checklist for the same equipment and the same task plan earlier today, and this checklist is still unfinished, the system will open this existing checklist, rather than create a new one. This ‘re-open’ function is available to support short interruptions while filling in the checklist. Any unfinished checklists from yesterday or before cannot be opened, it must be one from today and one that you yourself created.

    • Move to Complete - Completes the operator checklist. The Status will be set to ‘Completed’ and the operator checklist will be cleared from the screen. However, if a setup record is found on the setup screen, with the same equipment class and task plan you selected for the operator checklist, then the system will use the Complete Status as defined on this setup record, to determine the new operator checklist status. This could be:

      • ‘Unfinished’ - This is the status where operator checklist data can be changed. Please note that this means the operator checklist remains under control of the operator and is not moved to review or complete.

      • ‘Review’ - This status removes control from the operator and sends the checklist results to the Review Operator Checklist screen where a review can be performed. See the Review Operator Checklist section later in this document for more information.

      • ‘Complete’ - This status, which is also the default if there is no setup record, removes control from the operator and freezes the checklist results with a completed status. The review process is bypassed with this status.

    • Move to Cancel - Cancels the operator checklist. The Status will be set to ‘Cancelled’ and the operator checklist will be cleared from the screen.

Once the checklist is created, filling in the checklist items, viewing comments for these checklist items and a variety of other actions like, associating documents, creating follow-up work orders, etc. all behave like they do on the Checklist tab of the Work Order screen.
