To assign recipients and specify properties:

  1. In the Workflow Management feature set, select Document matrices.

  2. Select the matrix and select Actions > Assign Recipients.

  3. Select Add Row AddRow and specify a value for the property cells in each row.

    • The attribute columns for the matrix are defined by the system administrator according to project requirements. Typical attributes include Area, Type, Discipline, and Issue Purpose.

      • Select next to the column item to add or remove columns.

    • You can use the asterisk (*) wildcard character to associate a row with all the values of an attribute.

    • Selecting a property or relationship as a filter, and entering a wildcard (*) will only consider the objects which have the attribute (property or relationship) instantiated.

    • The submittal process is intended to be used by the external organizations, such as vendors, suppliers, and so on, to submit new document revisions. If certain documents or documents with particular issue purposes, do not require a review, the matrix can be configured to route the documents around the engineering review. However, the documents are signed off and the deliverable milestones (document planning information) are updated.

      Toggle review mode SDx doc matrix review mode - The review mode is turned on by default when you add a row. When you turn it off SDx doc matrix no review,

      • any existing recipients in that row are removed (see screenshot below).

      • the documents that satisfy any of the attribute values are not sent for reviews.

    • The following relationship-related properties allow multiple value selection: Area, Unit, Discipline, and Issue Purpose. The selection of the values in Area and Unit are mutually dependent. For example, if you select a specific area, the units related to that area are filtered and available for selection.

    • The following enumerated list properties allow single value selection: Category, Type, Sub Type, and Security Code. The selection of the values in Category, Type, and Sub Type are mutually dependent. For example, you have to select a specific document category to select a type related to that category.

  4. To add the recipients, select next to the Reason for Receipt.

    • Select the recipients cell to activate the edit mode, and to add , remove, or highlight the recipients.

      • To remove the recipients from the SDx document review matrix, you need to select next to the user, and do the following:

        • Select Remove to remove the user from the active row.

        • Select Remove All to remove the user from all the rows of the matrix.

      • To highlight a user in all the rows of the matrix, you need to select next to the user, and select Highlight. To turn off the highlight, you need to select next to the user, and select Unhighlight. In the user interface:

        • You can highlight only one user at any given time.

        • Highlight is turned off when you refresh the view, save or undo any changes.

    • The default values of the recipients are R (reviewer), I (information), and CON (consolidator).

    • Reason for receipts related to the SDXDocumentReviewMatrix class definition will be displayed in the system. For more information on how to configure the reason for receipts, see Configure SDx document review matrix.

SHARED Tip Each user appears in a chip-based interface (users separated by comma is the default view), and you can view the user information by selecting on the chip.

What do the buttons on the Assign Recipients page do?

Delete the selected row.

Duplicate Row

Create a copy of the selected row right below the selected row. You need to select a row to enable this button.

Undo All

Discard any changes.
