You can configure the automatic reassignment of workflow steps to take place when the user is away from the organization, temporarily or permanently, by assigning a deputy for the user.

When a user is away for one or more days, temporary automatic reassignment of workflow steps and review objects takes place. For a disabled user, permanent automatic reassignment of workflow steps and review objects takes place.

In both cases, a scheduler task processes the pending workflow steps and the corresponding review objects, and then reassigns these to the selected deputy. All the supporting information, comments, and actions related to review objects are also reassigned to the selected deputy.

The same process is applicable for consolidation steps.

Reassignment of workflow steps to an existing reviewer

If a workflow step is reassigned to a user who is already a reviewer and that reviewer has not completed their review, the user becomes the deputy, but continues working through their original review. Any actions or review comments from the user that is out-of-office or disabled are transferred to the deputy. The workflow step for the out-of-office or disabled user is terminated, and the review comments and actions of the user will not appear in any reports.

If a workflow step is reassigned to a user who is already a reviewer and that reviewer has completed their review, then the workflow step from the out-of-office user is not transferred to the deputy, and actions and comments are not transferred.

Reassignment of workflow steps to the consolidator

If a workflow step is reassigned to a user who is the consolidator, the consolidation step takes precedence over the review step. Any actions or review comments from the user that is out of office or disabled are transferred to the consolidator so that they can review them and act upon them. The workflow step for the out-of-office or disabled user is terminated, and the review comments and actions of the user will not appear in any reports.

Reassignment of a consolidation step to a reviewer

If a consolidation workflow step is reassigned to a user who is already a reviewer and that reviewer has not completed their review, all actions and review comments from reviewers are transferred and the deputy becomes the consolidator of all actions and comments from other reviewers. If the reviewer has completed their review, his review is left intact, and he performs the consolidation of all actions and review comments.
