When edits to a document are complete, you sign off the working revision, which sets the document as the CURRENT released revision and prevents users from creating further working versions for that revision.

Select the document revision to sign off.

Select Actions > Sign Off to display the Select Document(s) to Sign Off window.

Master document, then the Select Document(s) to Sign Off window displays the list of master documents along with their reference documents. You can select a document revision from the list of documents to sign off, but you cannot select its reference documents as the software displays them in the view mode.
You cannot sign off a document revision with attached reference files in the SUPERSEDED or WORKING revision state. However, you can proceed with the sign off, if the updated revisions of reference files associated with this document exist, but are not associated with this document. In such scenario, you can update the reference relationships for its reference documents by following the steps given in Update reference relationships.

Reference document, then the Select Document(s) to Sign Off window displays the document revision. Select and click OK.

For a reference document, if the associated master document refers an out-of-date revision of the reference document, after signoff, an Update ReferenceBy Relationships window is displayed. You can use the window to relate the master document with the latest revision of reference document. For more information, see Update referred by relationships.

Before you sign off a document, it must be checked in.

To make changes to a signed off document, the document must be revised.

Select Undo Sign Off to cancel signing off the document.

You can update the collaborating organizations using the Update Collaborating Organizations method available in the Actions menu. This option is not available for Administration document classifications.
