The P.30.02 Agreement Creation Results screen is opened when you are creating a supplement for a requisition of which no line item can be found on any agreement. On this screen, you can check the data generated by the system before it is committed to the database. Prior to saving, you can modify the data if necessary.

On this screen, you can:

  • Place a requisition line item on a different agreement

  • Create a new agreement line item

  • Place a requisition line item on another position of an agreement

  • Delete an agreement line item

  • Modify the agreement line item quantity

If the project default ZR_PROCSEQ is set to N, which means positions and sub positions of requisition line items are to be copied over to agreement positions whenever possible, the records are sorted by requisition position / sub position. If ZR_PROCSEQ is set to Y, the value of the Proc Seq field will be taken for the position of a line item and the records are sorted by that sequence number.

The button on the top of the screen is labeled Same Ident or All Idents; the label changes each time you click the button. In the case of Same Ident, the list of values in the Pos field on the right (agreement) side shows only those agreement line items the ident of which is identical with the ident of the requisition line item. In the case of All Idents, the list of values in the Pos field shows all line items of the selected agreement.

Regardless of the status of this button, only the line items with identical idents are available in the list of values in the case of an agreement for the corporate or FIM warehouses.

On the left side of this screen, you see some information about the requisition line items for which you selected the Create Supplement option. The requisition line items are displayed with the line item number in the Pos field, the sub line item number in the Sub field, the procurement sequence number in the Pseq field (when ZR_PROCSEQ is set to Y), the ident code in the Ident Code field, the commodity code in the Commodity Code field, the sizes in the Size 1 and Size 2 fields, the quantity released to procurement in the Released Quantity field with its quantity unit in the Quantity Unit field, the tag number in the Tag Number field, and the delivery designation in the Delv. Desig. field.

On the right side of the screen, the modified or newly created agreements with their line items are displayed. The type of the agreement is shown in the Type field.

The Status field shows if the agreement on which the requisition line item has been placed is newly created (status = New) or if the requisition line item was added to an existing agreement (status = Mod = modified).

The agreement number is shown in the Agreement Number field. If the CIP m_pck_po_custom.gen_order_number does not return NULL, this return value is copied over as the name for a new agreement. Otherwise, the number (name) for a new agreement is copied over from the previous supplement. If you want to get unique numbers for change orders that allow you to see the corresponding base agreement, you can use project default ZP_CO_UNIQ. If this project default is set to Y, the number of a change order is lengthened by the supplement of the base agreement and the number of change orders that have already been created for this agreement.

In a standard installation, the CIP returns a NULL value.

If you want to change the assignment of the requisition line item to another agreement, select the agreement number from the LOV. The list of values shows all agreements except for notices of commitment and blanket orders that are not approved. Depending on the requisition type, only agreements of type Order or Subcontract are available for selection.

The supplement of the agreement is shown in the Suppl field, the revision (internal supplement) of the agreement in the Rev field, and the supplier assigned to the agreement in the Supplier field.

The Pos field shows the agreement line item number. If you want to assign the requisition line item to a different agreement line item, you must use the list of values. When selecting another position for a requisition line item for which a negative quantity has been released, you must select a position with a quantity that is enough to cover this negative quantity. The system will not accept a negative quantity as a new quantity.

Sub

The agreement sub line item is shown in the Sub field.

The New Quantity field displays the quantity that will be placed on the agreement after you save all changes to the database. You can modify this quantity. In the case of an agreement for the corporate or FIM warehouses, the quantity that can be entered is limited by the quantity available in these warehouses.

The Old Quantity field shows the quantity that is already placed on an agreement. This quantity will only differ from 0 if the agreement or the agreement line item is not newly created.

If the difference between the new and old quantity is negative, material is cancelled. Otherwise, more material is ordered.

The Last Released Qty field shows the requisition quantity released to procurement along with the previous requisition supplement. This field contains the same value as the Last Released Qty field on the Line Items tab of R.30.01 Maintain Requisitions.

Click the Commit button to commit all changes to the database when you have finished applying changes to the results the system has generated. This is the only way of saving data on this screen; the Save button and F10 function key are not available here. Committing the changes means that the system continues to create or update the agreements. The actions taken by the system are listed below.

  • Prices and price base of the line items are copied over from the blanket order (BO)/master agreement (MA) if the agreement with the lowest supplement was originally created from a BO/MA. Only if the material of a line item cannot be found on the BO/MA, prices and price base are copied over from the previous agreement supplement. If no previous supplement exists for a line item, the price is set to 0 (zero) and the price base to Quantity.

    Prices and price base of all line items are updated if an agreement already exists (not only prices and price base of the changed or added line items).

  • Item shipments will be created for each new line item or modified for each modified line item of the PO or the CO.

  • The total costs of the agreements will be calculated.

  • All attributes attached to the requisition on the header and/or on the detail level will be assigned to the agreements and/or their line items if they are not yet assigned. In the case of a newly created agreement, the supplier attributes are copied over from P.20.01.

  • All VDRs (vendor data requirements) assigned to either the previous agreement or the requisition will be populated to the new agreements. If a higher revision of a VDR is assigned to the requisition, this one will be copied instead of the one attached to the previous agreement. In the case that an agreement is only modified, the VDRs assigned to the requisition but missing on the agreement are copied. Not only the VDRs attached to the requisition will be copied to change orders but also the VDRs of the previous agreement supplement are copied over.

  • All documents assigned to the requisition will be copied over to the new agreements. In the case of a new change order, all documents assigned to both the corresponding agreement and the requisition are copied to the CO. If an agreement or a CO is modified, the documents that are attached to the requisition but not to the agreement/CO are added.

  • All other attachments like text and terms, progress payment events, closeout activities, and the addresses assigned to the previous agreement will be copied to the new agreements.

  • If the project default ZP_TRANSTT is set to Y, text and terms are also copied from the requisition.

  • If the project default ZJ_USE_AC is set to Y (meaning you are working with the account code module), the account code information for the agreements will be created or updated.

Only applicable for agreements of type Order:

  • If change orders are created and the related agreement cycle has already been closed by expediting, the close date will be cleared for all related agreements.

  • If you are working with basic expediting, the close date is reset for the first agreement of the base type of the current supplement cycle and all its change orders. Other supplements of the same base agreement type and their change orders are not affected by this update. This only applies for purchase orders and if the project default ZP_PO_SUPP is set to Y.

  • If you are working with extended expediting, the close date is reset for all agreement supplements and their change orders.

  • For change orders, the addresses and attached attributes, documents, closeout activities, and progress payment events of the previous supplement are copied over. Other costs, VDRs, and text and terms are not copied over to the new change orders.

Click the Rollback button if you want all data generated and modified so far to be rolled back. The P.30.02 screen is closed, the status of the requisition will be reset to the status before you used the Create Supplement button, and you return to the P.30.01 screen.

You can click the New Line Item button to create a new line item for the selected agreement. This button is not enabled for requisition line items with a negative quantity released to procurement.
