The P.50.01 Agreements screen is the starting point for working with agreements. Here you create agreements and then go to the P.50.07 Maintain Agreements screen to see and maintain all the details of an agreement including line items, item shipments, attachments, costs, progress payment events, and so forth.

The agreements shown in the overview depend on the privileges you own. If you own the ASSIGN BUYER privilege, you can see all agreements regardless of the assigned buyer. In this case, you are also allowed to change the buyer for an agreement cycle. If you own the BUYER privilege, you can only see those agreements for which you are the buyer. In this case, you are not allowed to change the buyer of an agreement cycle. If you don’t own any of these privileges, you will not see any agreements at all.

Regardless of these privileges, your view on agreements may be additionally restricted by sections that have either been assigned to your user securities on the A.20.06.02 User Securities for Projects screen or to your role on the Sections tab of the A.30.03 Roles/Menus screen. If no sections are assigned, you can see all agreements; in this case, the section of an agreement is of no interest. If a section is assigned to your user securities, you can only see agreements that have been assigned to that section or that have no section at all. Sections assigned to roles are disregarded. If no section is assigned to your user securities, but one or more sections are assigned to your role, you can only see the agreements that have been assigned to one of these sections or that have no section at all.

This screen is a core workflow screen. For more information, see Core Workflow Screens.

The Project field shows the project of the agreement. If you have the MULTI PROJECT privilege granted, you can view the agreements of all projects to which you have access. Access to projects is defined on the A.20.06.02 User Security for Projects screen. For more information, see User Securities for Projects. Agreements created in projects other than the login project can only be viewed; you cannot change these agreements. If you don’t have the MULTI PROJECT privilege granted, only the agreements of the login project are displayed.

The Agreement Number field shows the name (number) of the agreement. To see or maintain the full details of an agreement cycle, you can double-click on this field to open the P.50.07 Maintain Agreements screen.

The type of the agreement appears in the Type field. The table below shows all available types.

The Order agreements are available in the subsequent Expediting, Traffic, and Site modules once these agreements have been approved. Manual purchase orders (MP) are not based on a quote summary or an engineering requisition. They are not available in any subsequent module.

The Subcontract agreements are available in the subsequent Subcontract Management module after they have been approved.

Additionally, here is some information about special agreement types:

  • A Notice of Commitment (NC) constitutes a promise towards a supplier that the material included on that notice of commitment will be ordered at a later time. Notices of commitment are available in all subsequent modules as long as they have not been converted into an approved purchase order. Once the purchase order has been created and approved, it replaces the related notice of commitment in the subsequent modules. The notice of commitment is then no longer available in these modules.

  • A Blanket Order (BO) is an agreement with an assigned supplier who guarantees prices for a certain period of time and to a certain amount. Blanket orders can be used to apply the prices of the material covered by them to a Blanket Order Release (BOR), which is handled like a purchase order. Blanket orders are always based on a quote summary. They are not available in any of the subsequent modules.

    You can create blanket orders in the product group and use them later on in projects to create a blanket order release.

  • The same is valid for Master Agreements (MA). They can be created for subcontracting and can be used for the creation of Work Orders (WO).

The Origin field displays the name of the office responsible for this agreement. All origins defined on the A.10.33 Origins screen can be entered. You can double-click in this field to open the A.10.33 screen. When you update the origin of an agreement, this update is performed for all agreements of the agreement cycle.

The currency of the agreement appears in the Currency field.

The buyer assigned to and responsible for this agreement is shown in the Buyer field. When you update the buyer of an agreement, this update is performed for all agreements of the agreement cycle. You must have the ASSIGN BUYER privilege granted to be allowed to change the buyer of an agreement cycle. Any user with the BUYER privilege granted can be assigned as a buyer.

The Section field shows the section assigned to this agreement. When you update the section of an agreement, this update is performed for all agreements of the agreement cycle.

The agreement descriptions appears in the Short Desc and Description fields.

The name of the office that has issued the agreement is shown in the Issued by field. All origins defined on the A.10.33 Origins screen can be entered. You can double-click in this field to open the A.10.33 screen. When you update the origin of an agreement, this update is performed for all agreements of the agreement cycle.

You can click the Order By ... button at the bottom to change the order by criteria for the displayed records. For more information, see Core Workflow Screens.
