Right-click the distribution matrix that you want to populate, and select Assign Recipients.

Specify a value for the property cells in each row.

The property columns for the matrix are defined by the system administrator according to project requirements. Typical properties include document type, contract, project, or area.

You can use the asterisk (*) wildcard character, alone or with other characters, to associate a row with multiple values of a property. For example, if you specify *process* for the document category property, the row of the matrix will be applicable for any document category that contains process, such as Process Documents or Process Controlled Documents.

If necessary, populate the user list.

If recipients have already been assigned to the workflow to which the transmittal is attached, these recipients are loaded into the dialog box automatically.

To search for users, click User, select the search criteria, and click OK.

To search for user groups, click User Group, select the search criteria, and click OK.

Select a user name or user group.

Click Add to add the user or user group to the matrix. A column with the user name or user group name displays in the matrix.

Set the Reason for Receipt and Format for each cell in the user or user group column.

Reason for Receipt specifies which action, if any, is required of the user upon receipt of the transmittal. The default values are I (information), C (comment), and W (work).

Format specifies the paper size used to send printed documents to users.

You can use the lists in the Default values section of the dialog box to set the Reason for Receipt and Format values automatically for newly added users.

Click OK.
