The Assign Recipients form is used to specify the users or roles included in the selected distribution matrix, as well as the action required from each user or role upon receipt of object in the workflow. For users or roles who receive paper copies of workflow objects, you can also specify the page size.

  1. To assign the recipients to the matrix, right-click the matrix in the Desktop Client, and click Assign Recipients in the shortcut menu.

    If an internal matrix is selected, the Assign Recipients form will display two columns, Doc category and Contract, as in the following diagram.

  2. Click to create a new row.

  3. Click in the first cell in the row, and select or enter the properties for the row criteria.

    You can use the asterisk (*) wildcard character, alone or with other characters, to associate a row with multiple values of a property. For example, if you specify *process* for the document category property, the row of the matrix will be applicable for any document category that contains process, such as Process Documents or Process Controlled Documents.

  4. Use the User and Role buttons to populate the recipient list in the left pane.

  5. To assign a recipient, such as a user or role, to the matrix, select the recipient in the recipient list, and click Add. A column is added for the new recipient. The new column is automatically populated with the default Reason for Receipt and Format values if they have been set.

    SHARED Tip You may also drag a recipient into the matrix pane.

  6. To select different Reason for Receipt and Format values, select the cell, right-click, and select Reason for Receipt and Format from the shortcut menu.

  7. Click beside the Reason for receipt box, and select a reason from the list.

    If you select I from the Reason for receipt list, the recipient will receive the step for information only, and no action is required.

  8. Click beside the Format for receipt box, and select a format from the list.

  9. Repeat steps 1-8 for each recipient you add to the matrix.

  10. Click OK.

    An example matrix is shown below.

    The following options are available:

    • Color palettes - Allows you to customize the cell colors.

    • Users - Allows you to search for users to assign to the distribution matrix.

    • Roles - Allows you to search for roles to assign to the distribution matrix.

    • Default format - Specifies the paper format automatically assigned to newly added paper users.

    • Default reason for receipt - Specifies the reason for receipt automatically assigned to newly added users or roles.

    • Size columns for best fit - Resizes the columns in the matrix view.

    • Validate matrix - Allows you to validate property values in the cells of the matrix against the drop-down list options, before creating any related items in the system.

      With the Validate matrix check box selected, the values in the cells of the matrix are validated; any differences against the drop-down list options are marked as in Error. You cannot save the recipient matrix; a message asks you to ensure that the data entered is valid. Switching this option off avoids these errors and allows you to import data, for example from Microsoft Excel, and populate the matrix.

  • Right-click a column heading to display a shortcut menu with the following options:

    • Move Column - Adjusts the order in which the user or role columns are displayed.

    • Add Column - Allows you to add a user or role column. You must type a valid user or role name to add the new column.

    • Duplicate Column - Allows you to add a new user or role column with the same reasons for receipt as the column being duplicated.

    • Clear Column - Removes all reasons for receipt from the column.

    • Delete Column - Removes the user or role from the display.

    • Change Recipient - Allows you to change the recipient.

  • Right-click a row heading to display a shortcut menu with the following options:

    • Duplicate Row - Adds a new row with the same properties and reasons for receipt as the row being duplicated.

    • Delete Row - Removes the row from the display.
