The following applies if you are using a version of the software before Update 46. For the latest instructions, see Manage related items.

Setting the access control type to Access Group on the form allows you to quickly assign access groups to each section.

From the form section

  1. Click Find > Administration > Form Section.

  2. In the Find Form Section dialog box, enter the name of the form section, or use a wildcard to refine the name.

  3. Right-click the section, and click Manage Access Groups.

  4. In the Manage Related Items dialog for managing access groups, select each access group to have access to the section, and click Relate Selected Item .

    • If you want the section to be uneditable (read-only) by the selected access group, change the Readonly? option to True on each access group.

    • Access groups not related to the section cannot see the section on the form.

  5. Click OK to save the changes.

From the Form Builder

  1. Right-click a form, and click Form Builder.

  2. Expand the form to display each of the form sections.

  3. Right-click the section to which you want to add access control, and click Manage Access Groups.

  4. In the Manage Related Items dialog for managing access groups, select each access group to have access to the section, and click Relate Selected Item .

    Change the Readonly? option to True on each access group, if you want the section to be uneditable (read-only) by the selected access group.

  5. Click OK to save the changes.

  • The section is hidden to any access group that is not related to a section on the form.

  • If no access control is configured for a section, the section is visible for all users.

  • If you change the access groups for a section, it changes the access group on every form the section appears.

  • If you want to change the access groups for a specific section on a new form, but want to keep the access groups the same where ever the section appears on existing forms, you must make a copy of the section and add that to the new form. You can then change the access groups related to the section copy without altering the access groups in the original section.
