Ensure that the progress hierarchy for the current configuration has been set before creating the workpack.

An activity workpack may be created from an existing template or created manually.

  • To create from a template, right-click the template in the Desktop Client, and click Create Workpack on the shortcut menu.

To create a new design workpack:

  1. Click File > New > Progress > Activity Workpack in the Desktop Client.

  2. In the Details section, type a name for the new activity workpack.

  3. Select the Contract, Area and Unit.

  4. In the Options section, select the Active check box to set this workpack to active.

    • Once active, deactivating the workpack will require any documents registered to it to be unregistered.

    • Some of the options are set in the Progress options form and cannot be selected here. See Configure progress options.

  5. Select the Progress Updated and Include in rollup check boxes as required.

Detail

Description

Type

Shows the type of workpack being created and cannot be edited.

Contract

The top level of the hierarchy for which this workpack will be available.

Area

The second hierarchy level of the deliverable.

The Area selected filters the Unit list.

Unit

The third hierarchy level of the deliverable.

You may also type a new Area or Unit but it will not be applicable until it has been created.

Override allocated weighting

When enabled, allows you to override the value displayed in the Allocated Weighting field.

Allocated weighting

Displays the sum of the weightings of the deliverables registered for progress in this workpack. Select the Override Allocated Weighting check box to activate this field and to override the value displayed here.

Option

Description

Active

Sets the workpack to active. That is, it specifies whether documents can be registered in progress to this workpack.

Allow automatic progress
(display only)

Indicates whether this workpack will allow the automatic calculation of progress (%) for registered documents in each step.

Set in the progress options form. Cannot be set in this form.

Automatic progress
(display only)

Specifies whether all documents registered for this workpack will have the auto progress feature activated by default.

Set in the progress options form. Cannot be set in this form.

Allow downstream forecasting
(display only)

Indicates whether this workpack will allow the automatic calculation of remaining forecast dates for the registered documents in subsequent steps.

Set in the progress options form. Cannot be set in this form.

Downstream forecasting
(display only)

Specifies whether all documents registered for this workpack will have the downstream forecasting feature activated by default.

Set in the progress options form. Cannot be set in this form.

Allow calculation override
(display only)

Indicates whether this workpack will allow the user to manually override the calculated progress value for an individual step.

Set in the progress options form. Cannot be set in this form.

In replan mode
(display only)

An indicator to show when this workpack is in replan mode. Not selectable.

Progress updated

Set manually to show if the updating of deliverable progress has been completed for this workpack.

This field is unchecked when the progress rollup process has been completed on a project cut-off dates.

Include in rollup

Select to include this workpack in rollups.

Deliverable plan frozen
(display only)

An indicator to show that the plan dates for deliverables in this workpack have been locked to prevent changes.

Steps tab

  1. Click the Steps tab.

    Add step option

    Description

    Before

    Inserts a new step before the current selected step.

    After

    Inserts a new step after the current selected step.

    Sub Step

    Adds a sub step the selected step. (You must create and select at least one step to make this button available.)

    Parallel

    Adds a parallel step.

    Not currently supported.

    Update

    Allows the selected step description, weighting and events to be updated.

    Delete

    Deletes the selected step.

    Return Codes

    A return status code indicates the reason that a document is being returned to its originator and reflects an approval or rejection of the document.

    Every step except the first one must have a return code.

  2. Click Before to add the first step.

    Each workpack must have at least two steps.

  3. Type a name and description for the step.

  4. In the Weighting(%) box, type a weighting for the step (as a percentage).

  5. If the step will be a construction step, select the Construction step check box.

    • The first step does not have a return code.

    • A construction step must be completed during the construction period, between the construction start and end dates.

  6. Click After to create the second step.

  7. Type a name, description, and weighting for the second step.

  8. Click Return Codes.

  9. In the Return code box, select a code from the drop-down list.

  10. Click Add to add the code to the Selected return status codes list.

  11. Click OK.

  12. Add any further steps and their return codes.

The weighting of all the steps must equal 100%.

Plan Details tab

The Plan Detail tab is used to set the start and end dates for the workpack. It is also used to enter the man hours.

  1. Click on the Plan Details tab.

  2. In the Dates section, enter the Plan Start and End dates.

  3. Enter the Float and Construction Start and End dates if known.

  4. In the Man hours section, enter the Budget and Unapproved man hours.

    Dates option

    Description

    Plan

    Planned start and end dates of the workpack.

    Float

    Dates by which the plan must be started and finished, including any available slip time.

    The float overrides the plan's dates. When a deliverable is first registered, the system checks to see if it is within the plan dates. If it is not, it then checks to see if it is within the float dates.

    Construction

    The dates on which construction is scheduled to start and finish. If the construction flag is set on a step, then its date on any deliverables must fall within this window.

    The Construction Start and Construction End dates must be within the defined Plan Start and Plan End dates.

    Replan

    Activated when the workpack is in replan mode.

    Use to enter revised plan start and end dates rather than changing the original dates entered for that value.

    Construction replan

    Activated when workpack is in replan. Use to enter revised construction plan start and end dates rather than changing the original dates entered for that value.

Man hours option

Description

Budget

The original number of man hours that have been budgeted for the completion of this deliverable.

Unapproved

The number of man hours (needed to complete the task) you would like to extend the allocated budget hours by. These hours are not yet approved.

Approved

The number of additional man hours that have been approved.

To be approved

The number of unapproved hours that have still to be approved.

The number entered here is subtracted from the Unapproved field and added to the Approved field.

Current

The accumulated number of man hours allocated (budget hours + approved hours). You cannot edit this field.

  • Budget man hours - These figures are maintained based on the allocated man hours for the workpack and the weighting and level of completion of the deliverable

  • The approved and unapproved man hour entries can be a negative value.

    Example: If budgeted man hours are 1000 and another 1000 hours have been requested but only 600 of these have been approved, the form would display:
