Attach file

When attaching a file to an object, the system analyzes the file to see if it has any reference files:

  • If any files are missing, the processing continues or aborts based on the configuration described above.

  • If more than one file in the system matching the name of the reference file is found, the user is presented a simple GUI to select the appropriate file for the relationship.

  • If the user is attaching more than one file to the same object, it will look in the set of files being attached (and any files already attached to the object) for the reference files in preference to looking into the whole system.

Check out

When files are checked out to the local client machine:

  • The system transfers the selected files to the local machine:

    • If the file is already in the target directory but not managed by the system, then check out is prevented.

    • If the file is already in the target directory as copied for reference, the file is copied again as a reference file.

  • The system attempts to copy any reference files for reference:

    • If the file is already in the target directory but not managed by the system, then check out is prevented.

    • If the file is already in the target directory as copied for reference, the file is not copied again and a count is maintained.

    • If the file is already in the target directory as a checked-out file, the file is not copied again and a count is maintained.

Check in

When files are checked in:

  • The system transfers the selected files back to the server:

  • If the file is still required as a reference file to another file, it is left local and the count maintained.

    • If the file is not required as a reference file to another file, it is left or removed depending on the user selection on the form.

  • The system cleans up the reference files on the client:

    • If the file is still required as a reference file to another file, it is left local and the count maintained.

    • If the file is not required as a reference file to another file, it is left or removed depending on the user selection on the form.

Sign off

During document sign off:

  • Control can be configured on the sign off method to prevent sign off of a document if it has working reference documents.

Revise

When a document is revised:

  • It is possible to automatically update all out-of-date references based on an argument on the revise method. Some of the reference documents may have been revised, which means that the document being revised references SUPERSEDED document revisions and these relationships are automatically updated to the latest revision depending on the Maintain Relationships property described above.
