You can create, revise, check-in, signoff or replace a file for a document with a master file that references:

  • an existing file in the database which is attached to more than one document.

  • more than one file with the same name that is attached to different documents or revisions.

    When attaching the master file, a Reference Files Details window is displayed in which you can resolve the duplicates as follows:

    1. In New Files pane, select a master file to attach to the document.

    2. Click CHOOSE FILES, select files.

    3. In the Reference Files Details window, select one or more reference files to resolve duplicates, and attach the master file.

    4. Select Apply

    5. Click FINISH in the New Files pane to attach the master file by resolving duplicates and creating or resolving reference relationships.

Which Microsoft Office file formats are supported for reference files?

The latest Microsoft Office file formats such as docx, docm, pptx, and pptm are supported for reference files.

  • In the Reference Files Details window, you can:

    • Click View and Markup View dup reference file to display a reference file inside the View and Markup window.

    • Click the hyperlink to display the reference file details on a form.

    • Hover on Show the detail form Fileproperties to display the reference file type.

    • View the file type of the duplicate reference files. However, the file type of the missing reference file is not shown.

  • If the master file and reference file are attached to the same document, the software automatically creates a reference relationship, without searching for other instances of the reference file attached to different documents. In such cases, the Reference Files Details window is not displayed.

  • If a master file references other files, the number of reference file relationships levels that are resolved is limited by the Nested reference file level setting defined in the system options. For more information, see Configure the system options.

  • When attaching the master file, the software resolves and attaches the files with cyclic references when the Cyclic references allowed option in the system options is set to True. For more information, see Configure the system options.

  • If the master file references files that do not exist in the database, then the missing reference files are displayed in the Reference Files Details window.

  • If you have administrative privileges, you can configure the display of missing and duplicate reference files in the Reference Files Details window. For more information, see Configure the display of missing and duplicate reference files.
