  1. Click Download Template to export the current operational areas from your j5 system. A spreadsheet template downloads to your computer.

    If you have a large operational area hierarchy, it may take longer that your browser will allow. If the download hasn't been successful after 30 seconds, j5 will redirect you to the export record. When the spreadsheet template is ready for download, click the Operational Areas Import Template.xlsx link in the Import File box to download the spreadsheet.

    You need to refresh the export entry periodically when the download is preparing to see if the download is ready.

    If you are not redirected to the export record and the export record doesn't appear in the list view, refresh the Operational Areas Import page to view the record.

  2. Open the Operational Areas Import Template.xlsx spreadsheet on your computer.

  3. Add the names of the new area nodes. Take note of the following:

    • Each row represents a path in the area hierarchy. Parent areas on the left lead to child areas on the right.

    • Area nodes can be added to existing parent areas, or new parent areas and area paths can be added.

    • If your company's area hierarchy is more than four areas deep, more columns can be added using the format Area# (# = the next number in the sequence).

    • Parent area cells can be merged so that their top and bottom borders line up with the first and last child areas, or they can be repeated in multiple cells for each area path. Both methods result in the same area hierarchy structure when imported. For example:

      In this example, Africa and its children (South Africa and Egypt) will only appear once in the area hierarchy when imported into j5, even though they have been repeated for each of their child nodes.

    • Area nodes can be added out of sequence. For example:

      In this example, Africa nodes have been added to the end of the sheet. When this spreadsheet is imported, the Africa and South Africa nodes will merge with their existing area nodes, and the Bloemfontein node (Area3) and Westdene and Bloemspruit nodes (Area4) will be created.

    Bloemfontein and its child nodes will be added to the bottom of the South Africa child nodes list. If you want the Bloemfontein node to appear between Cape Town and Johannesburg in the area hierarchy on j5, the Bloemfontein node can be dragged into the position you want it on the Operational Areas configuration page.

    Area nodes are identified by their names. After the operational areas have been imported, their names can only be adjusted on the Operational Areas configuration page. In this example, South Africa is an existing area node on your j5 system. If you change South Africa to SA in the import spreadsheet, when the spreadsheet is imported a new area node (SA) will be created. The area hierarchy in j5 will have South Africa and SA as area nodes.

  4. Save your changes after updated the spreadsheet.
