About this task

Properties are fields used to identify a specific piece of information about an item. Throughout AcceleratorKMS there are various places in which you can include properties:

  • Asset types and asset profiles

  • Document templates and documents

  • Flows

  • Request forms

Here are some examples:

  • On the asset type Pumps, you could add a property called Power with a default value of Electric and optional values of Hydraulic and Manual. When a new pump is added to the inventory, its profile is automatically generated and contains the Power property with a value of Electric. If a pump is not electric, you can edit its profile and select Hydraulic or Manual.

  • On a request form, you could add a property called Reason for request with values of New hardware, New software, and New location. When the user completes the form, they can make a selection for why they are making the request. This information can help the evaluator determine whether to approve or deny the request.

SHARED Tip Properties can also be found and used as filters on many search and report pages in AcceleratorKMS.

The hierarchy of properties for assets and documents:

  • A property and value added to an asset type is automatically inherited by all assets of that type, however, the inherited value can be overridden within an asset profile.

  • A property and value added to a document template is automatically inherited by all generated documents, however, the inherited value can be overridden within a generated document.

  • If the same property, but with different values, is added to a document template as well as an asset type or asset, the value from the asset is used in the generated documents. This inherited value can be overridden in the generated document.

Procedure

  1. On the menu bar, click the gear icon > Properties.

    A list of existing properties displays.

  2. Click Add new property to create a new property or click an existing property to edit the property.

  3. Enter the required information.

    Field

    Description

    Name

    Name that people see when they are selecting a property for use or when they see it listed throughout AcceleratorKMS.

    Description

    Information that is viewable to a user when they hover over the property name.

    Type

    Type of input being collected for the property. The following types are available:

    Text

    Allows user to add simple text as the value for the property.

    Link

    Prompts user to add a value that is used in the link template.

    The link template identifies the template URL that is used to generate the desired link within the asset profile or document.

    In the Link template field, type the URL with [value] in the location where the entered value is to be added to the URL. When the property is given a value in the asset profile or document, [value] is then replaced with the specified value.

    For example, if the property is "Company" and the link template is http://www.[value].net, and the value for "Company" is set as "AcceleratorKMS", in the asset profile, the value for property displays as AcceleratorKMS, and it is a hyperlink to http://www.acceleratorkms.net.

    Select the Allow multiple links in values check box to enter additional URLs, separated by commas.

    Single Select List*

    Allows user to add a list of possible values, from which only one can be selected.

    Multi Select List*

    Allows user to add a list of possible values, from which more than one can be selected.

    Searchable check box: If selected, this property is included as an option when searching for content.

    Values field: These are the values that the user can choose when the property type is Single Select List or Multi Select List. Type one value into the text box, and then click New value to add additional values.

    * These options are available only on Single Select and Multi Select Lists.

    SHARED Tip When you add a property to an asset type or document template, you must define a value for the property. Always ensure to include one that can be used as a default value or placeholder, if required.

    Once a property is created, you cannot delete it. You can, however, delete property values that are not currently in use.

  4. Click Save.

Results

The property appears in the list.
