j5 workflows allow you to complete IndustraForms in an organized and dynamic manner. The workflow of an IndustraForm governs when a section can be completed (regardless of the sequence of the sections in the form) and allows you to easily track what has been done and what still needs to be done to complete the workflow of the form.

Workflow overview

The panel on the left of the form displays the workflow controls. The panel has four sections:

The WORKFLOW section appears at the top of the side panel. This highlights the current state of the form and the typical sequence of the workflow. The typical states are shown with solid circles, while the atypical states are shown with open circles.

To view the workflow chart, select chart button at the top of the panel, and then select View chart. The workflow chart appears.

The chart displays:

  • The current state of the form and the possible transitions out of the state are highlighted in yellow.

  • All the possible form states and transitions between states.

  • Additional transition details when you hover over the Entry Action and Exit Action icons.

Actions

The ACTIONS section on the panel displays all the available actions for the current state and the entered form data.

For example, referring to the ACTIONS image above, you can Cancel the form in its current state, but you can't request the permit (the Submit Request button is grayed out).

The actions that need to be performed by a particular role or rights group also appear in this section (when they exist), but are grayed out if you are not assigned to a role with the necessary permissions or if you're not part of the assigned rights group. These actions can only be performed by a user that is assigned to a role with the necessary permissions or are part of the assigned rights group.

The following appears when you hover over an action:

  • Highlight required fields for the action required button - Select this icon to highlight the fields required for the action. The incomplete required fields are highlighted in red, and the completed fields are highlighted in blue.

  • Guard conditions for the action guard button - Select this icon to see the guard condition and permission information. The guard condition must be met before the action can be performed (for example, confirm that the associated documents are all issued/isolated).

Roles

Roles

The ROLES section on the panel allows you to assign the form roles to the users with the necessary permissions and authority. If you can’t open the user list, it means you don’t have the necessary permissions to assign that role.

A red dot appears next to the ROLES section heading when one or more roles are unassigned.

History

The HISTORY section shows a list of the states visited before the current state. It also shows the transitions that happened, along with when they happened and who actioned them.

Hover over the time lapse below the action label to see the exact date and time of the action.

Select the signature icon to see the signature of the user that actioned the transition to the new state, their name, and the time they signed their confirmation.

The user comment and signature appear in the History panel when the user has specified that they should appear in the audit trail.
