An external revision is applied only to a 3-tag or 3-lines report in the Process Data Module, it is not applied to the internal revision of each item. Irrespective of which tags or lines you choose to be in the report, the external revision number is applied to the report not the instruments or lines contained in the report. For example, a 3-tag report with external revisions, contains the instruments FT-100, FT-101, FT-103. After making changes to FT-100, including adding an internal revision number to FT-100, when you generate or refresh the 3-tag report the internal revision has changed on instrument FT-100 but the external (report) revision has not changed. The opposite is also true, changing the external revision has no effect on the individual revision numbers of the instrument tags.

Use this procedure to add, edit, or delete external revision to a 3-tag or 3-lines report, in the Process Data module.

Add or Edit an External Revision

  1. In the Process Data Module window, on the Actions menu, select External Revisions .

  2. In the Revisions dialog, select one of the revision numbering methods (use P0, P1, P2... for preliminary revisions or 0, 1, 2 /A, B, C, and so forth for normal serial revisions).

    SHARED Tip When you first select a revision numbering method, several options are available to you, including preliminary revisions (designated by P0, P1, P2…). After you select one of the other revision methods, you will not be able to return to the preliminary revision method and this option will be disabled.

  3. Select New to add a new revision or select in a data field to update existing revision data in that field.

    SHARED Tip As a time saver and a forget-me-not precaution, take advantage of using a default Revision method. The software automatically adds a new line with the next logical character and date each time you select New after you select the initial method.

  4. Add or edit the revision data in the appropriate data fields.

    SHARED Tip The By data field contains the current user's initials by default, if previously defined by the Smart Instrumentation System Administrator. You can also edit this field.

  5. Select OK, to finish.

When you next open a 3-tag or 3-line report the external revision is displayed in the external revision section of the reports title block.

Delete an External Revision

To delete an external revision, do the following:

  1. Select the revision you want to delete.

  2. Select Delete.

  3. Select OK, to finish.
